BODHI TREE EVENTS ROOM RENTAL INFORMATION
Thank you for your interest in renting the Bodhi Tree Events Room.
The following information contains details regarding the rental process, the room, availability, event planning, and parking.

RENTAL FEE
- Minimum rental time is 3 hours and includes set-up and closing.
- The rental rate is $185 per 3 hour block and $62.00/hour thereafter.
- Doors should open at the beginning of the rental time, so that the workshop can start 1/2 hour later. Workshop ending time should be 1/2 hour before the ending rental time so that the room can be vacated by the end of the rental time.
- Set-up time is 1 hour before the beginning of the 3 hour rental period. We will be setting up the room during the hour before the doors open and you are welcome to join us.
- We accept all credit cards, checks, or cash for payment of the rental fee.
- *Payment is due in full when you receive the invoice/contract please.*
RENTAL DAYS AND TIMES
- Sunday through Saturday evening 7:00-10:00 pm/advertised workshop time 7:30-9:30 pm.
- Saturday and Sunday are also available from 2:30-5:30 or 3:00-6:00 pm rental time/3:00-5:00 pm or 3:30-5:30 pm advertised workshop time .
- We do not have the availability to offer more than one event in a given month, or on-going monthly events, but can offer every-other month availability.
- We have not found a difference in attendance for any given day or time.

Please schedule approximately 2-3 months in advance to ensure your desired date.

ROOM INFORMATION
- The room is 29 ft in length and 22 ft in width.
- The room is equipped with air conditioning and heat, 2 bathrooms, a podium, dry erase board with markers, 2 desks, a book shelf, a 6 ft folding table, a video monitor and DVD player, (We do not have a power point or slide projector), a microwave oven and a sink.
- The room can accommodate 65 chairs which are provided.

A sound system is available for your use and includes a lapel or hand-held microphone and
a CD/cassette player. - One parking space should be available for you in our employee parking lot located behind
- the bookstore. Please see the enclosed information for parking restrictions in the area.
- A member of the Events Staff will greet you, make sure you have everything you need, and then will leave the room in your care.
- The Bodhi Tree Events Room is entered on Melrose and is a separate building next to the Bodhi Tree Bookstore.
ADMISSION & SALE
- You may take admission or sell books or other items at your event.
- We do not take a percentage of any money collected for admission or the sale of products.
- You are responsible for the handling of all money collected.

We do not order books for workshop/lecture events. If you want them to be available, then
you will need to provide them for sale at your event. -
We do not take reservations or pre-registrations at the store for your event. Your contact information will be published in all advertising materials.

ADVERTISING

You will receive inclusion in our monthly Events Calendar which is distributed in the store,
posted on our website, emailed to a subscriber list, and submitted to the “Whole Person - Calendar of Events in Southern California”. For web listing, please include a photo jpg. (minimum 300 width/72DPI)

Any other means you may have of helping to get the word out about your event are
suggested and helpful for increasing attendance.One suggestion is to list your event for free at https://www.spiritualeventsla.com/Home_Page.html - Please submit 4 copies of an 8 1/2 X 11 flyer for use in the store to advertise your event. The flyer needs to have the date and time of your event and your contact information. If you are unable to provide a flyer, a black and white, text only, flyer will be provided.
- Please email a picture of the presenter or the logo of the event as a jpeg file in color or black & white, any size.

CANCELLATION POLICY
- By scheduling an event you have committed to the date and are responsible for the rental fee even if you have not signed or returned the contract/invoice.
- An event may be cancelled, with a full refund, if cancelled 6 full weeks before the 1st of the month of your scheduled event.
- Cancellations with less than this notice, will not be refunded, and if the rental fee has not been paid, will still be due.
- All cancellations require a confirmation by the Events Coordinator.
- Refunds or partial refunds are not offered for low attendance.
PROPOSAL INFORMATION
Before a date can be scheduled, please send a proposal for the event. In the proposal please provide the following items:
1. A detailed description of your workshop/lecture.
This needs to include where you have offered the workshop/lecture before and bio information for the person offering the workshop/lecture. Due to the large number of submissions, the Events Coordinator will not able to view your website for this information. Please send (email, mail, fax) any materials you would like reviewed.
2. A very brief description (100 words or less) of the event.
Please follow the format of our monthly Events Calendar (please see below for an example) and write in full sentences, no bullet points or numbered listings.
The description needs to be preceded by the name of the presenter, the title of the event, contact information (phone, email, website), and admission price. This is the information that will be printed in the Events Calendar, posted on our website, and emailed.

PARKING NEAR THE BODHI TREE
Where You Can Always Park...
The Bodhi Tree
We have three off-street parking spaces near the front of the Used Book Branch at 606 Westbourne Drive.
Valet Parking
The Valet Parking drop-off/pick-up area is the parking meter space in front of the Bodhi Tree Events Room at 8583 Melrose Avenue.
The cost is $5.00 and is available every day from 10:30 am-10:30 pm. The Bodhi Tree will provide the valet fee of $5.00 with a same day purchase in the store of $15 or more!
Parking Meters
You may park anytime wherever there is a parking meter (this includes Melrose Avenue and on side streets as well). You must pay the meter from 8:00 am -6:00 pm. On some streets, the meters are in force to 8 pm. Please read the signs carefully. The maximum time allowed is two hours. One quarter buys 15 minutes. The meters are free after 6:00 pm and all day on Sunday. On some streets, the meters are in force on Sunday to 8 pm. Please read the signs carefully.
There are two parking structures in the area: West Hollywood Park Library Parking Structure (333 spaces) and The Pacific Design Center. Their parking times and fees are outlined below. Fees are subject to change without notice.
West Hollywood Park Library Parking Structure (333 Spaces)-NEW!
This parking structure opened in March 2011. Enter on Robertson Blvd. just north of Melrose Avenue or on San Viciente, just north of Melrose Avenue.
8 am to 6 pm Daily: First hour is free; One additional hour free with park validation; thereafter $1 each 20 minutes; $12 maximum.
6 pm to 2 am Sunday through Wednesday: $1 each 20 minutes; $6 maximum.
6 pm to 2 am Thursday: $1 each 20 minutes; $8 maximum. 6 pm to 2 am Friday and Saturday: $10 flat rate; Two hours free parking for park visitor's with validation.

Pacific Design Center Parking Structure
The parking garage entrance for Pacific Design Center is located on Melrose Avenue, just east of San Vicente Boulevard. First 20 minutes free, $1.50 each 15 minutes thereafter. $13.50 maximum weekdays. $6 flat rate after 6 pm Monday through Wednesday; $9 flat rate after 6 pm Thursday; $10 flat rate after 6 pm Froday and Saturday. $7 flat rate 10 am-6 pm saturday and all day Sunday. All rates subject to change without notice.
The side streets SOUTH of Melrose - WEST side of the street
Two-hour free parking is available on the west side of the side streets south of Melrose (towards the Beverly Center) Monday through Saturday from 7:00 am to 7:00 pm. There is no parking in this area after 7:00 pm every night and on Sunday, except by permit only.
The side streets NORTH of Melrose
No parking is allowed at any time in the area north of Melrose (towards Santa Monica Boulevard), except at any parking meter. It is a permit only parking area.
The side streets SOUTH of Melrose - EAST side of the street
The east side of the street, south of Melrose is a permit only parking area. There is no parking, at any time, allowed here, as it is permit only on the east side of the street.
HANDICAP PARKING
The Bodhi Tree Bookstore provides handicap parking in a rear, employee parking area. Access is from Westbourne Avenue. Drive up the driveway between the New Book and Used Book Branch buildings. A Bodhi Tree Staff person will open the access gate.
HANDICAP ACCESS TO THE BODHI TREE ANNEX
The Bodhi Tree Annex is not completely wheelchair accessible. There are some low steps.
